Salon Package and Member Credit Ledger

Every package and membership credit by where it was bought and where it was used, with the visits and credits still owed at each location.

Overview

This concept illustrates a provider-side ledger for salon and spa groups that sell prepaid service packages and monthly memberships across several locations. Subscriber Bot holds each package as a fixed-term entitlement and each membership as a recurring relationship with its plan, payment card and credits, and the ledger is designed to show where each was bought, where each visit was used and what is still owed.

In beauty and personal care, a client buys a series of blowouts at one salon and redeems some of them at another, or a spa membership keeps banking credits that nobody has counted. When each location keeps its own tally, front desks quote different balances, and finance cannot see how many prepaid visits and credits the business still owes, or at which location. The concept keeps one ledger across locations so every desk shows the same balance.

The illustrated Package and Credit Ledger sits under Relationships with a location selector set to all locations. An Owed by location row shows each sample salon or spa with the visits or credits still owed and their value, plus a tile grouping four other locations. The Package holders table, with an Export for finance action, lists client, package or plan, bought at, redeemed at, visits or credits owed and end date. Sample rows include a blowout series bought at one location and redeemed at two, a monthly massage membership whose credits are marked banked, facial and men's cut series redeemed at a different location from where they were bought, and a brow and lash membership with no redemptions yet. The selected client's panel shows a redemption timeline with the date, location and service of each visit, an order reference, a balance update and the visits left, with a View order in Kadaikodi action. Below the table, a Payments to follow up list shows a membership whose payment failed, with a dated update-card message marked as sent to HeadshotMarketing.

Two other Burdenoff products appear in the design. A label at the top reads that redemptions come from Kadaikodi as booked: package sales, membership charges and redemptions are designed to arrive from Kadaikodi orders as they are booked, which is how each redemption carries its location and order. For failed payments, approved card-update requests are designed to pass to HeadshotMarketing, which sends the message to the client.

Within Subscriber Bot, the ledger applies entitlement and relationship tracking to a salon group's own clients. It records balances by location and gives no financial or accounting advice.

How it works

  1. Open the Package and Credit Ledger under Relationships and choose all locations or one.
  2. Read the visits and credits owed, and their value, at each location.
  3. Scan package holders for where each package was bought, where it was redeemed and what is still owed.
  4. Select a client to see the redemption timeline and visits left, and open the order in Kadaikodi if needed.
  5. Review failed membership payments and the update-card messages sent to HeadshotMarketing.
  6. Export the ledger for finance.
